Planning the Move Around Your Business Calendar

The single most effective decision in an office relocation is timing. Bangkok's commercial districts — Silom, Sathorn, Sukhumvit, Ratchadaphisek, and the CBD around Asoke and Phloenchit — operate on relatively standard business hours, and most office leases permit freight elevator access outside those hours. A weekend move — starting Friday evening after staff depart and completing by Sunday night — allows your business to close Thursday as normal and open Monday in the new premises. For companies that cannot afford even a Monday disruption, a phased move beginning mid-week can work: non-essential departments move first, core operations maintain continuity at the old address, and the final cutover happens over the weekend.

Aligning the move with your business calendar requires identifying your "quiet periods" — times when client interactions are lowest, project deadlines are not imminent, and staff can absorb some disruption without it affecting revenue. For many Bangkok-based businesses, January and February represent the quietest trading months of the year — post-year-end, pre-Q1 push, and after the holiday period. IT Infrastructure Migration: The Critical Path

In modern Bangkok offices, IT infrastructure is frequently the most complex and highest-risk element of a relocation. Server racks, network switches, UPS systems, CCTV and access control panels, VoIP phone system hardware, and cabling infrastructure all require specialist handling that is categorically different from moving desks and chairs. IT equipment must be shut down in the correct sequence to prevent data corruption; servers should be backed up immediately before the move as a final precaution; rack-mounted equipment requires ESD-safe (electrostatic discharge) handling and purpose-built server transport cases rather than standard cardboard boxes; and network patching at the new premises needs to be completed and tested before staff arrive.

A common best practice is to establish basic IT connectivity at the new premises — internet circuit, core switch, and a test workstation — at least two weeks before the full move. Building Management Coordination in Bangkok Commercial Buildings

Bangkok's Grade A and Grade B commercial buildings — the towers in Sathorn, Silom, and the Sukhumvit corridor — all have building management offices that govern how moves are conducted within their premises. Standard requirements typically include: advance written notice of the move (usually 5–10 business days minimum); a building permit or move-in/move-out form completed by the tenant; freight elevator booking (these are typically shared between floors and must be reserved in time blocks, often on a first-come basis); floor protection requirements (cardboard or hardboard laid over lobby and elevator floors to prevent scratching); and in some buildings, a refundable security deposit against any damage to common areas during the move.

Failure to coordinate with building management in advance creates significant problems on moving day. Freight elevators that have not been booked will not be available exclusively to your crew — you will share them with normal building traffic, turning a 6-hour move into a 12-hour one. Loading dock access, parking for the removal trucks, and security clearance for crew members all need to be arranged in writing.
